Why Businesses in India Are Moving from Tally to Zoho Books

Tally has been working well for Indian enterprises for several years now. However, how businesses operate has drastically changed. In this context, modern-day businesses require cloud integration, a real-time dashboard, GST auto-filing, and integration with CRM, Inventory, Payroll, among others.

If your company works from remote locations, if you wish for your accountant to view your books without a virtual private network (VPN), or if you are tired of filing GST returns, then Zoho Books would be the choice to make.

At Lekhakar, we have helped hundreds of Indian businesses make this switch without losing data or missing deadlines. Our team is expert in both Tally accounting services and Zoho accounting services, which means we understand exactly what needs to move and how.

What Data Do You Need to Migrate from Tally to Zoho?

Prior to starting, make sure of what you have to migrate. The full migration from Tally to Zoho entails the following data:

  • Accounts chart โ€“ your groups and ledgers
  • Open balances โ€“ the trial balance as on migration date
  • Masters of customer/vendor – contact information, credit terms, PAN, GST numbers
  • Masters of item/product โ€“ SKUs, description, HSN code, GST rates
  • Outstanding invoices/bills โ€“ outstanding receivables/payables
  • Cash/bank balances โ€“ cash and bank open balances
  • Historical transactions (optional) โ€“ historic invoices to be referred

It is not necessary to always migrate all historic transactions. Companies prefer to take a clean start date (normally the start of a fiscal year/quarter) and migrate only opening balances. This helps in maintaining a neat and speedy environment at Zoho Books.

Step-by-Step: How to Migrate from Tally to Zoho Books

Step 1: Set Migration Cut-Off Date

Use a clean cut-off date – preferably April 1 (beginning of the Indian fiscal year) or the beginning of the quarter. All entries prior to this date will remain in Tally as reference. Entries after this date will be migrated to Zoho Books.

Setting a migration cut-off date is important. If you plan to migrate all historic data, it will take you much more time and cost a lot more. Using a clean cut-off date is a better option.

Step 2: Data Export From Tally

Data from Tally can be exported in XML and Excel formats. The following data should be exported:

  • Chart of Accounts: Go to Gateway of Tally โ†’ Reports โ†’ Account Books โ†’ export in Excel format
  • Masters: Customer/Vendor โ†’ Gateway of Tally โ†’ Masters โ†’ export ledger masters
  • Items: Item Masters โ†’ Stock Summary โ†’ export stock items
  • Opening balances: Trial Balance up to your migration date โ†’ export in Excel format
  • Pending transactions: Outstanding bills/invoices up to your migration date

Keep all files in a clean folder. You’ll use them for importing.

Step 3: Clean up Your Data

This is where the majority of migrations fail. In a raw Tally export, you will often find:

  • Duplicated entries in the ledger
  • GST numbers/PAN numbers inconsistencies
  • No HSN code for products
  • Incorrect parent-child ledger structure to be consistent with Zoho format

Do not import your data into Zoho until your Excel files are clean.
If this sounds tedious, this is exactly where professional help saves you time and mistakes. Our team at Lekhakar handles full data cleaning as part of our outsourced accounting services.

Step 4: Setting up your Zoho Books Organisation

Prior to importing, ensure you set up your Zoho Books account correctly:

  • Organisation setup and Base Currency (INR)
  • Financial Year Start Date (April 1 for India)
  • Enabling GST and adding GSTIN, Business Type, Filing Frequency
  • Bank Account Setup
  • Invoice Templates and Series Setup

The above setup is crucial. It will create compliance issues in future if you have not set your Zoho Books account properly.

Step 5: Import data into Zoho Books

Zoho Books provides built-in import functionality for all data types. You should follow the import steps in the given sequence:

  • Chart of Accounts โ€“ Import using Settings โ†’ Chart of Accounts โ†’ Import
  • Contacts (Customers & Vendors) โ€“ Import using Contacts โ†’ Import Contacts
  • Items โ€“ Import using Items โ†’ Import Items
  • Opening Balances โ€“ Add using Settings โ†’ Opening Balances (for cut-off date)
  • Pending Invoices โ€“ Import using Sales โ†’ Invoices โ†’ Import
  • Pending Bills โ€“ Import using Purchases โ†’ Bills โ†’ Import

Zoho provides sample CSV template files for all imports. Map your cleaned Tally data with these templates accordingly. Column headers have to match exactly.

Step 6: Reconciliation & Verification

Upon import, perform a complete reconciliation process:

  • Zoho total debtors = Tally total debtors as of the cut-off date
  • Zoho total creditors = Tally total creditors as of the cut-off date
  • Equal bank and cash balances
  • Trial balance in Zoho equals Tally trial balance on the cut-off date

Do not go live until you have matched figures. Any minor error will blow up to a major one with time.

Step 7: Go Live & Train Your Team

Reconciliation confirmed; go live, which means:

  • No further transaction entries in Tally
  • All transactions start happening in Zoho Books
  • Team training on the interface of Zoho (invoicing, expenses and bank reconciliations)
  • Automated bank feed settings in Zoho Books for live reconciliation

Access to Tally should be retained for at least 3 months post-migration.

Common Mistakes to Avoid During Tally to Zoho Migration

  • Importing uncleaned data: Inaccurate data exported from Tally makes for messy accounting books on Zoho. Clean your export data first before importing into Zoho.
  • Choosing an inaccurate cut-off date: Migration mid-way through the year is possible, but complicated. Migration at the start of the year or quarter is much cleaner.
  • Not verifying the opening balances: Incorrect opening balances mean all reports on Zoho are wrong. Check all numbers before migration.
  • Configuring GST incorrectly: Zoho Books can easily automate GST compliance, but only if the GST module is configured accurately. Poor GST configuration results in faulty GSTR reports.
  • Attempting migration without assistance: Many business owners underestimate the amount of data cleaning and reconciliations needed during migration. Professional migration takes about 3 to 7 days. DIY migration may take about 3 to 6 weeks.

How Long Does Tally to Zoho Migration Take?

Tally to Zoho Migration: FAQs
